Your new role
The Document / Data Controller is responsible for managing project documentation and data flows throughout the life cycle of a major capital project. In this role, you will ensure the accuracy, traceability, and timely distribution of project documents while maintaining turnover-ready records across document management platforms. You will work closely with Project Management, Engineering, Construction, CQV, and external contractors to support efficient document control processes and regulatory compliance within a highly regulated environment.
Key Responsibilities:
- Administer document numbering systems, registers, transmittals, and document distribution processes.
- Maintain accurate project document records and ensure data integrity across document management platforms.
- Track, monitor, and expedite contractor and vendor document deliverables against project schedules.
- Provide regular reporting on document status, deliverables, and outstanding actions.
- Support the creation and maintenance of turnover documentation structures in collaboration with Construction and CQV teams.
- Ensure project documentation is complete, organised, and ready for handover activities.
- Administer document management systems, user access, and document workflows.
- Support internal and external audits by providing accurate documentation and records.
- Promote document control best practices and ensure compliance with project procedures and standards.
What you'll need to succeed
You have a minimum of 5 years of experience in document control within large-scale capital projects. Experience administering EDMS or similar document management platforms is essential. You have strong organisational skills, excellent attention to detail, and experience managing contractor and vendor deliverables. Knowledge of turnover documentation processes within the pharmaceutical, biotechnology, or highly regulated industries is preferred. You are proactive, able to work with multiple stakeholders, and possess strong communication skills in English. Experience supporting audit activities and managing complex documentation structures is highly desirable.
