Our client is a specialist Management Consultancy and professional services provider for supply chain topics with the life sciences industry. They are part of a larger US based group with offices around the world. For their (beautiful historic) office in Rotterdam, they’re looking for a Part time Operations Manager.

Your new role
The demand for our services is strong and growing, which is why we need to also grow our team. Today we have about 20 people permanently working on our expanding international project portfolio.

The tasks
In this role you’ll be responsible for a broad set of tasks, predominantly involving the finance and reporting spectrum. Besides this you’ll be involved in projects regarding operations, HR, process improvements, operational excellence, data analysis, reporting and office management related tasks. As a Part-Time Operations Manager, you will closely cooperate with AIM’s Office Manager, our HR dept, AIM’s Managing Director, operations and finance team. You will be involved, support and improve operational and administrative systems and processes and work collaboratively with team members to support the daily operations of the business. You will work in an entrepreneurial environment with strict deadlines, a positive atmosphere, and a collaborative team spirit. You will report to the local Managing Director.

The tasks
  • Project revenue and profitability tracking
  • EBITDA tracking
  • Support AIM Mngt with forecasting process/reports
  • Define other metrics in close collaboration with AIM MT
  • Leverage BM reporting tools
  • Set up robust control and payment process for vendors
Team / HR
  • Improve and support the recruiting and staffing process (freelancers and permanent employees)
  • Manage the contracting process with freelancers
  • Ensure freelance and labor contracts are up to date and compliant with Dutch law
  • Support and improve the on-boarding process in close coordination with HR (BM) and Office Management
  • Automate and improve performance processes / set up sales and book of allocations in Salesforce
  • Team utilization tracking and reporting (improve / develop existing reports)
  • Vendor management to the extend not managed by the Office Manager
  • Business development support (improve on-boarding and translation from contract towards invoicing process with customers)
  • Support and improve back end and business processes / leverage processes to the extent possible with BM best practices
  • Manage and execute AIM compliance with GDPR, customer contracts, IT, BM business processes, etc.
  • Optimize usage of current tools such as Dropbox, Salesforce, 10K, etc.
  • Support AIM participation during Exhibitions/Seminars etc. to increase visibility
Back up for the office manager during absence
  • Liaising with accounting support (back up)
  • Client invoicing (back up)
  • ADP input (back up)
  • Tax form assistance and completion of UBO’s (back up)
  • Other tasks (Office Mngt, Travel, event organizing, travel support etc.)

What you need to succeed
  • Bachelor’s degree in field such as business administration, finance or operations management
  • Superb attention to detail
  • Ability to juggle multiple tasks readily and effectively
  • Superior organizational and solid time-management skills
  • Professional presence
  • Perfect English, other languages are a plus
  • Experience with ERP systems preferably with Netsuite’s Finance module is a strong plus
