Location: Leiden (nearby station)
Hours: 40 hours preferred; 32 hours possible for the perfect match candidate. Hybrid policy (50% from home).

About the Role
This is a key coordinating role supporting the HR function for the Dutch organisation. While the broader HR team is located in the UK, you will work closely with the HR consultant based in Leiden and act as the primary operational and administrative support for HR activities in the Netherlands.
You will be the central point of contact for employee and manager enquiries, ensuring smooth HR processes, correct documentation, and accurate HR data. This role requires a proactive, structured, and relationship‑oriented professional who can independently navigate processes and maintain a high standard of compliance.
A major part of the role involves coordinating all activities related to employee absence. You will not act as the case manager yourself, but you will ensure that all deadlines, documentation, and follow-up actions in the sick leave process are handled accurately and on time.

We are specifically looking for someone with strong, practical experience in employee data processing across the full lifecycle (hire and termination), with a particular focus on leave and time management.

If you perform well, there is a strong possibility of transitioning into a permanent role.
Key Responsibilities
HR Coordination & Support
  • Act as the gatekeeper for all HR related processes in the Netherlands.
  • Support the HR Business Partner with day-to-day HR administrative tasks.
  • Serve as the local HR point of contact for approximately 430 employees across sites in Leiden and Utrecht.
  • Manage manager and employee enquiries, ensuring timely and accurate follow-up.
Absence Management Coordination
  • Maintain correct and up-to-date files in the case management system.
  • Ensure all parties follow the required steps within the Dutch “Wet Verbetering Poortwachter” framework.
  • Coordinate deadlines, reminders, and communication between managers and employees on leave.
  • Monitor and support accurate documentation and compliance.

Time Tracking & Documentation
  • Ensure correct processing of overtime and time tracking entries.
  • Support employees and managers with documentation requirements and system-related questions.
  • Assist with interim manual time tracking tasks when needed.
HR Administrative & Transactional Support
  • Process employee lifecycle actions (hire, transfer, termination).
  • Oversee data changes in HRIS systems and handle sensitive or complex transactions.
  • Prepare or review severance calculations (including exceptions and non-automated cases).
Systems & Data Management
  • Work with HR systems such as Workday and ServiceNow.
  • Support testing of system updates and ensure data accuracy.
  • Act as an escalation point for data-related questions within HR.
  • Troubleshoot system errors together with HRIT teams.
Process Improvement
  • Identify trends in HR cases and proactively suggest solutions.
  • Contribute to global HR documentation updates.
  • Support HR initiatives such as new program roll-outs, benefits updates, compensation cycles, and HRIS improvements.
Reporting & Compliance
  • Produce ad‑hoc reports and provide data insights.
  • Support audits, legal document preparation, and compliance tracking.
  • Collaborate with internal and external stakeholders (payroll, benefits vendors, auditors, etc.).
Requirements
  • Experience in HR coordination, HR operations, or leave management (Wet Verbetering Poortwachter). This is a hard requirement.
  • Strong HR systems knowledge; experience with Workday and ServiceNow preferred.
  • Ability to independently prioritise, coordinate, and improve processes.
  • Strong attention to detail and accuracy in data handling.
  • Comfortable building relationships across all levels of the organisation.
  • You have to have knowledge (and experience) with Dutch labour law.
  • Knowledge of the Dutch language is a plus, not a requirement. Your English skills have to be fluent.
  • You already live in the Netherlands (region Leiden) and you don't require a visa and/or sponsorship.
